Position Summary
Reporting to the Manager of Programs, Hill and Levene, the Administrative Support carries out various administrative functions in the main office of the Faculty of Business Administration, being the first point of contact for prospective, new, and current students, and responds to general inquires to the Hill and Levene Schools of Business.

Primary Responsibilities:
  • General reception and office duties (primarily for the Levene School of Business, but also as a back-up for the Hill School of Business) which includes answering inquiries and providing advice and assistance to current and prospective students, the general public, and faculty members;
  • Answer general questions about the various programs offered by the Faculty and the University and University procedures, book appointments for academic advising, and provide basic guidance regarding admissions and registration procedures including pre-req overrides;
  • Obtain and compile biographical information from students to produce a student directory for incoming EMBA participants;
  • Purchase supplies, organize catering and various other support for EMBA program;
  • Assist the Program Coordinator to arrange logistical and administrative details for the annual International Study Course for between 40 and 60 EMBA and MBA students;
  • Assist in updating Degree Audit and setting up course evaluations;
  • Coordinates deliveries of guest speaker gifts;
  • Sorts mail and assigns mailboxes;
  • Scanning admissions documents that arrive in the Faculty and new paper student documents to electronic;
  • Provide administrative support for events targeted at current Hill and Levene students (booking rooms, ordering catering, etc);
  • Purchase office supplies; and,
  • Other duties as required.
Position Requirements
Position Requirements:
  • Grade 12 with the successful completion of recognized business course(s), combined with a minimum of three years’ related experience. An equivalent combination of education and work experience may be considered. Completion of some university classes is an asset;
  • Demonstrated expertise in the use of Microsoft Office (Word, Excel, Access, and Outlook-GroupWise). The position is responsible for creating and maintaining spreadsheets, databases, and general documents;
  • Ability to organize multiple tasks and meet deadlines while maintaining accuracy and strong attention to detail;
  • Ability to deal effectively in a courteous, cooperative, and confidential manner with students, staff, and the public;
  • Ability to exercise analytical skills, critical assessment, and problem-solving techniques required in primary duties relating to students, faculty, staff, and the public;
  • Ability to communicate effectively, both verbally, and in writing;
  • Ability to understand and execute oral and written instructions;
  • Ability to create, compose, and edit written materials;
  • Knowledge of University policies and procedures and the Levene School of Business programs and admission requirements;
  • Skill in the use of operating basic office equipment.
  • Knowledge and skill in the use of Banner, Caspur Reports, GroupWise, Degree Audit, and UR Docs required;
  • Knowledge of University policies and procedures to appropriately respond to queries that arise;
  • The ability to work independently under general direction or as part of a group;
  • Thorough understanding of the different requirements associated with the various programs in the Faculty: Certificate, Diploma, Bachelor of Business Admin, Master programs, etc.
  • Experience organizing and coordinating events;
  • Experience delivering professional, competent customer service in a front office environment is required: ability to interact effectively in a professional manner with students and potential students, the Schools’ major donors, senior members of the business community, and senior executives within the University; ability to develop and maintain effective collegial working relationships with internal/external stakeholders is required;

Salary Range $42,533.40 - $57,457.40 Annually
