Position Summary
 Are you an organized and detail-oriented professional with a passion for administration? Join us as our new Assistant to the Associate Deans!

The Assistant to the Associate Deans reports to the Faculty Administrator and is primarily responsible for governance work. This role provides administrative-level support to the Associate Dean of Student Services & Undergraduate Programs and the Associate Dean, Research & Graduate Programs. Responsibilities include overseeing activities that support the Associate Deans’ roles both within and outside the faculty.

What You’ll Do:

Support for Associate Dean of Student Services and Undergraduate Programs:
  1. Coordinate and organize meetings within the Faculty of Education, including the Undergraduate Program Development Committee.
  2. Act as liaison between the Faculty of Education Undergraduate Program Development Committee and the Council Committee on Undergraduate Admission and Studies.
  3. Coordinate with program areas and the Undergraduate Program Development Coordinator to facilitate academic program decisions, manage motions through various committees, and ensure alignment with deadlines for Executive of Council/Senate approval.
  4. Maintain the Faculty of Education course inventories and handle exclusive administrative responsibilities for attendance policy, misconduct issues, and mid-semester review processes.
Support for Associate Dean, Research & Graduate Programs:
  1. Prepare agendas and take minutes for the Research & Graduate Program Development (RGPD) Committee.
  2. Prepare RGPD meeting reports for the Education Faculty Council Meeting and the Council Committee on the Faculty of Graduate Studies and Research (CCFGSR).
  3. Coordinate with program areas and the Graduate Development Coordinator to facilitate academic program decisions, manage motions through various committees.
  4. Maintain records of research ethics approval letters and coordinate course-based research ethics review applications in compliance with U of R policies.
Administrative Support:
  1. Schedule meetings, book rooms, collect and disseminate agenda information, circulate relevant materials, secure meeting rooms/equipment, and coordinate participant attendance.
  2. Maintain the Faculty of Education course inventory of past and current courses (Undergraduate and Graduate).
  3. Support Associate Deans with travel logistics, including scheduling, booking accommodations, and preparing reimbursement claims.
  4. Provide project support related to the Associate Deans’ portfolios.
  5. Plan and execute annual and additional events sponsored by the Associate Deans, coordinating venue bookings, speakers, vendors, catering, parking, and equipment logistics

Position Requirements
What You’ll Bring to this Position:
  • Completion of a post-secondary diploma or certificate in business administration, office administration, or a related field 
  • Minimum of 5 years of administrative experience.
  • Combination of education and experience may be considered.

  • Attention to detail and accuracy is essential.
  • Excellent organizational skills including a proven ability to work effectively with minimal supervision, prioritize work and accomplish tasks correctly and on time.

  • Ability to work under pressure and balance multiple tasks and shifting priorities.
  • Proficiency in the use of MS Office Suite (Word, Excel, PowerPoint).
  • Demonstrated skill in learning and applying a variety of policies, procedures, and processes.
